Terms of Service

Last updated November 7, 2026

Draft. This page is a working draft that hasn’t been reviewed by an attorney yet. It describes how HomeFile works today in plain language. Words in [square brackets] are details still to be filled in.

HomeFile is an online file for a home. Your home inspector uses it to give you your inspection report, a list of repairs, and a plan for looking after the home. You can share it with the people you choose. HomeFile is operated by [legal name of the operating company] (“we”, “us”).

By opening a HomeFile link or using the site, you agree to these terms. If you don’t agree, please don’t use HomeFile.

  1. 1. Who's who

    • Inspector: the inspection company that set up the file and wrote the report.
    • File holder: the person who paid for the inspection, or who later received the file when the home changed hands. The file holder decides who else can see the file.
    • People the file is shared with: for example family, agents and contractors, each with only the access the file holder gave them.
  2. 2. Your inspection report

The inspection itself, including what it covered and its limits, is governed by the agreement you signed with your inspector. HomeFile doesn’t change that agreement or add to the inspection.

The summaries, repair lists, labels and care plans in HomeFile are there to help you act on the report. If they ever differ from the signed report, the report is what counts.

  3. 3. Repairs, care plans and other information

Repair statuses, receipts, photos and notes are added by the people using the file: you, the inspector, contractors and others you share with. A repair marked “done” means someone reported it done. It is not inspected or verified unless the file clearly says it was checked by the inspector.

Care reminders, warranty dates, cost ranges and similar information are general guidance, not professional advice for your home. For safety issues, or before major decisions, talk to a qualified professional.

  4. 4. Your links

HomeFile uses private links instead of passwords. Anyone who has your link can open the file with your level of access. Please keep it to yourself, and use the sharing page to give other people their own link, so you can end their access later.

If you think a link has been passed on by mistake, end it from the sharing page or contact your inspector, and a new one can be made.

  5. 5. Sharing and ending access

The file holder can share the file and end anyone’s access at any time. Shared links for agents and contractors stop working on their end date. The inspector can also end access when needed, for example at the file holder’s request.

  6. 6. When the home changes hands

The file holder can hand the file to the home’s next owner. After the handover, the new owner controls the file. The previous owner keeps a read-only copy of the file as it was on the handover date, and doesn’t see anything added afterwards.

  7. 7. What you add

You keep ownership of the photos, receipts and other things you upload. You let us store them and show them to the people who have access to the file, which is needed to run HomeFile.

Please only upload things you have the right to share, and nothing unlawful, harmful or unrelated to the home.

  8. 8. Fair use

Don’t try to get into files you weren’t given, interfere with the service, or use HomeFile to send spam. We may end access that is being misused.

  9. 9. Availability

We work to keep HomeFile running and your records safe, but we can’t promise it will always be available or error-free. Please keep your own copy of important documents. You can download your report from the Documents page at any time.

  10. 10. Cost

HomeFile is provided to you by your inspector at no charge. If that ever changes, we will tell you before you are charged anything.

  11. 11. Limits of our responsibility

[To be written with an attorney: disclaimers and limits on liability, in line with the inspection agreement.]

  12. 12. Changes to these terms

If we make important changes, we will update the date at the top and, where reasonable, let file holders know by email.

  13. 13. Governing law and contact

These terms are governed by the laws of [state]. Questions? Email [contact email address] or reply to any email from HomeFile.
